General Office Support Clerk – Taylor McCaffrey – Winnipeg, MB

Taylor McCaffrey LLP is currently seeking a full-time General Office Support Clerk. As part of our Services Team you are a professional who will support the Taylor McCaffrey team, one of Manitoba’s largest law firms and an industry leader.

This position is responsible for a variety of tasks that support the firm’s overall operations. Each member of the Services Team is versatile in their skill set and flexible with respect to ensuring all responsibilities of the team are carried out on a day to day basis. Each team member is a back up to all other members for key responsibility areas. At the present time, some modification of these responsibilities is in place due to COVID-19. For example, Reception is currently closed. However, when operations return to normal, shared responsibility areas will include:

1. Delivery Desk Duties:

  • Track incoming and outgoing courier packages, including client document pick ups
  • Scan and send documents firm members
  • Ensure staff are aware of package arrivals
  • Request couriers using online courier system
  • Maintain courier supplies such as packages, envelopes, and address seals

2. Facility Maintenance

  • Place orders for supplies as needed including office, legal binding and cleaning supplies, food, etc.
  • Clean public and high use spaces and surfaces including coffee stations and the Blackstone Lounge
  • Ensure public spaces and boardrooms are presentable and clean
  • Service calls as required for equipment
  • Library Filing

3. Event Assistance

  • Place food orders and maintaining alcohol supplies
  • Assist with room set up and clean up

4. Mail Service/Supply

  • Sort and scan all incoming postal mail and distribute
  • Office Supply maintenance/ordering

5. Offsite file management

6. Reception Duties:

  • Answer all incoming calls in a professional manner, redirect calls to appropriate lawyers and staff
  • Greet, assist, and direct clients and the general public and notify firm members of arrivals
  • Answers questions about organization and provides clients with the firms contact information
  • Ensure coffee station is fully supplied with coffee, drinks, etc.
  • Maintains a tidy and clean reception area
  • Receive and deliver faxes from general fax line number
  • Confirm boardroom bookings
  • Contact management when an emergency situation arises
  • Assist accounting with collection of client payment


  • High School Diploma or equivalent but post-secondary education is considered an asset
  • Experience in the use of MS Office Applications
  • Experience in a similar or administrative role is an asset
  • Ability to lift file boxes (up to 25lbs)

  • Excellent interpersonal and communication skills (verbal and written) with the ability to effectively and tactfully communicate with individuals within and outside of the Firm in person or over the phone.

Standard hours: 8:30 – 4:30 with occasional fluctuation
